  • Under general direction, the purpose of this position is to perform a variety of administrative support requiring a developed understanding of the Virginia Freedom of Information Act procedures. Work requires constant attention to details and deadlines, the exercise of initiative, independent judgement and discretion in dealing with delicate and frequent confidential matters. This position will also assist with the records maintenance, retention and purging of departmental files.

DUTIES:

  • Serves as FOIA Official for the Police Department
  • Responsible for responding to and completing informational requests as required under the Virginia Freedom of Information Act for the Police Department
  • Conduct searches and research for records, documents and various forms of media requested under the Virginia Freedom of Information Act requests
  • Redacts sensitive and protected information in compliance with the Virginia Freedom of Information Act utilizing various computer software Answers department phones, faxes, emails and performs various administrative work as required
  • Notarizes documents when required
  • Assists with the management of public records and retention schedules pursuant to the Virginia Records Retention and Disposition Schedule
  • Works within the established procedures, guidelines and practices that facilitate in the creation, backup, preservation, filing, storage and disposal of departmental records
  • Performs other duties as required

REQUIREMENTS:

  • High school diploma or GED is required.
  • Supplemented by minimum three years’ experience involving local government legal administrative support or records maintenance.
  • Certification as a Notary Public by the Commonwealth of Virginia, or the ability to obtain within three months of employment.
  • Ability to obtain VCIN/NCIC certification within six months of employment.
  • Virginia Freedom of Information Act training within 30 days of employment
  • Library of the Commonwealth Records Training within 30 days of employment
  • Designation as FOIA Official for the Police Department within 30 days of employment
  • Proficient in Microsoft and Adobe products.
  • Valid driver’s license with acceptable record

HOURS:

  • 8:00 A.M. - 5:00 P.M., flexible hours as needed
